Our community room serves as a flexible, shared space for educational, cultural, and civic activities that benefit the public. It is used for library programs and meetings, but is also available for use by local organizations, clubs, and town committees when the library is closed. It has a small kitchenette, a conference table and chairs, and also houses our “book sale” offerings of donated books for purchase. We aim to make the community room a welcoming space where people can gather, share ideas, and engage with their neighbors.
1. Eligibility
Read our policies to determine if you or your organization are eligible to reserve the community room
The Buckland Public Library’s community room is available for use by local groups, organizations, and individuals for non-commercial, community-oriented activities. Payment is not required, but donations are always appreciated.
Please read our Community Room Use policy below before applying to use the room.
2. Application
Submit forms to the library
If you are eligible, come to the library to fill out the documents necessary to reserve the room. Alternatively, you can use the Google Form below to fill out basic information, print and sign the forms, and bring them to us at the library.
You will need to give us information about:
- Yourself (name, contact info)
- Your use of the room (personal, meeting, one-time event)
- Details of event if applicable
You’ll also sign a liability waiver and promise to clean up.
Your forms will be kept on file in the library. You will only need to submit a new form if you are applying for a different type (personal vs. organization), or as the representative of more than one organization (we need a form on file for each organization).
3. Reserve
Check the calendar for open availability (all) and confirm with the library (for meetings and events only)
Once you have forms on file, you will receive the door code from the library staff. No one except the applicant should have the door code. You may prop the door to allow people to enter the community room while you are meeting, as long as you close it afterward.
If you are an individual:
- Check our community room calendar on the home page to ensure no one else is scheduled to use the room on the date/time you are planning to use it. It is view-only – you cannot add or change information directly in the calendar.
- No other notification is needed for the library (please do tell us if there are any problems, however, so we can resolve them).
- Please keep to your visits within the hours of 7am-9pm, keep the room clean, and close the door so that it clicks!
If you are the contact person for an organization or event:
- Check our community room calendar on the home page to ensure no one else is scheduled to use the room on the date/time you are planning to use it. It is view-only – you cannot add or change information directly in the calendar.
- Notify the library of the date and time of your event, either via our Google Form above, phone call (413 625 9412), or email bucklandpubliclibrary@gmail.com.
- You will receive confirmation that your meeting or event has been added, and it should be visible on the calendar. For organizations meeting at regular intervals, let the library know and we can schedule them several months in advance.
- Please be aware of other events or meetings scheduled the same day, and keep to scheduled times if others are waiting.
- Make sure to clean up and close the door so that it clicks!
